Original Theatre are seeking a proactive and flexible administrator who is looking to further develop their arts administration experience.

Job Description

The Production Coordinator will ensure the efficient day-to-day running of Original Theatre and support the Original Theatre artists, creatives and freelancers. Previous experience within the arts/creative industry within an administrative capacity is not essential but would be beneficial.

Salary: £24k – £28k FTE dependent on experience This is a freelance position. Hours: Full time – 40 hours per week inclusive of lunch. We are open to flexible working arrangements, but require a minimum of 0.8 FTE – please let us know in your application if you wish to discuss this.

Office hours are normally 10.00 am – 6.00 pm Monday to Friday (evenings and weekend work may occasionally be required; Original Theatre operates a TOIL policy)

Working from home with travel when required. The post-holder will be responsible for their own computer and office systems.

Start date: As soon as possible.

Job Requirements

Essential:

Strong Office 365 skills, especially Excel and Word Basic admin experience including minute-taking, filing and processing of invoices Able to manage a busy, varied workload, balancing multiple deadlines Good numeracy and basic understanding of financial processes Calm under pressure with a can-do attitude Willing to work evenings/weekends when required Adaptable in fast-paced environments Strong people and communication skills, able to liaise with talent, agents, suppliers, and colleagues with tact and diplomacy

Desirable:

Experience in an arts company or venue (particularly online/touring content) Comfortable with last-minute changes to priorities

Job Responsibilities

Financial Administration:

Keep production and company budgets up to date Support cashflow documents and financial reporting Reconcile monthly credit card expenses Create/submit weekly remittance advices for cast and creatives Manage finance inbox; log and file invoices Support external accountants with queries and month-end reconciliation Log weekly payment runs as directed

Production Administration:

Undertake research tasks as directed Source rehearsal/reading venues and meeting rooms Support equipment orders and UK/international travel arrangements Support show delivery: availability checks, record keeping including contact sheets and production schedules Assist with contracting tasks, including offers to agents as directed Organise insurance cover as directed Liaise with actors/creatives/agents for bios, measurements, etc. Work with PR colleagues to coordinate cast interviews Attend rehearsals, openings, and readings as needed Attend and minute company/production meetings
