After 45 years of worldwide performance and recording, The Sixteen is recognised as one of the world’s greatest ensembles, comprising both choir and period-instrument orchestra.  At home in the UK, The Sixteen are “The Voices of Classic FM” and Associate Artists of Wigmore Hall and Kings Place, London. The group promotes The Choral Pilgrimage, an annual tour of the UK’s finest cathedrals, which aims to bring music back to the buildings for which it was written. The Role

The Sixteen manages its own promotions (approximately 20 to 25 a year) in-house using the box office software Spektrix. We are seeking someone to oversee and administrate this area, as well as to work with the Marketing Manager to maximise audience development opportunities. The post-holder will oversee and help deliver the sales and ticketing operation ensuring the highest level of customer service possible to all those that interact with or visit us. The successful candidate will lead on the day to day administration of the Box Office function and event/product set ups, as directed and overseen by the Marketing Manager, and will manage the front of house/box office function at some of The Sixteen’s own-promotion concerts. The post-holder will assist on marketing campaigns relating to The Sixteen’s own-promotions, as well as being involved in the creation and delivery of social media content – there is real scope for creative social media and digital campaign ideas, and the ideal candidate will have an interest and flair in this area.

This is a co-ordinator and support role split approximately 50/50 between box office administration and marketing responsibilities. It is a small, busy team and there will be administrative duties in other areas that arise, as required.

Responsibilities

Box Office

·       Administer the setup of all events, products, and offers on the box office software (Spektrix) in accordance with internal and external requests.

·       Manage the Front of House and Box Office activities at own-promoted concerts. This will include travelling alongside the ensemble on tour days across the UK

·       Process and manage complimentary ticket requests, making sure procedures and systems are well maintained.

·       Liaise with the Marketing Manager on live events, to ensure the website booking process is factually correct and working at all times.

·       Produce post show sales reports for settlements to be actioned, and setup and monitor weekly sales reports.

·       Once trained on General Data Protection Regulation (GDPR), be a GDPR champion in the Box Office, ensuring data is handled as per The Sixteen’s data protection policies.

·       Oversee and assist box office email accounts where appropriate as well as phone lines.

·       Act as the principal contact for our external box office, providing them with all the information required to run a telephone booking service.

·       Print and post all online ticket bookings

·       Liaise with the Office Administrator to ensure the office is always well supplied with printer ink and tickets

·       Reconciling and banking on door cash and programme book sales from own-promotion concerts

·       Be the primary contact for any customer queries and communications

·       Printing up row and seat labels for own-promotion concerts

Marketing – to include, but not limited to:

·   Work with The Sixteen’s Marketing Manager to help run campaigns for The Sixteen’s Choral Pilgrimage, Choral workshops, the annual Sounds Sublime Festival and Genesis Sixteen recruitment campaigns as follows:

·       Researching new local and national promotional partnerships for each campaign

·   Communicating with local music groups, arts organisations and community groups to promote The Sixteen’s concerts

·  Contacting and regularly liaising with concert venues to ensure they are effectively promoting our events.

·       Proofreading copy and marketing materials

·   Helping to schedule and generate regular social media content, keeping The Sixteen’s profile and presence at an appropriate level, and monitoring audience feedback

·       Other marketing duties, as required

Other duties

·       Assisting as required, with administrative support for the Concerts & Artistic Planning Manager and Learning & Participation Manager

·       Assist with music library – photocopying and collation of music parts, as required

·       Assisting with other general and office administrative tasks as and when required

·       Answering the general office phone when required – many of the calls relate to box office and event enquiries

Skills and Experience

Essential

·       Excellent attention to detail

·       Strong digital media skills including good working knowledge of social media platforms (Facebook, X, Instagram, YouTube)

·       Familiarity with Microsoft Office (Word, Excel, Outlook etc.)

·    High level of technical ability (confidence in operating systems and databases etc. and ability to learn new systems quickly)

·       Minimum one-year administrative experience

·       Clean driver’s license

·       Strong written and verbal communication skills

·       Strong numeracy skills

Desirable

·       Prior knowledge of Spektrix or similar system. (Initial software training and ongoing support provided)

·       An interest in classical music

·       Knowledge of media editing software (Canva, Adobe etc.)

·       Flexible, and able to adapt to changing situations

·       Ability to maintain a calm and professional manner under pressure

·       Ability and willingness to travel alongside the ensemble across the UK

·       Ability and willingness to occasionally work unsocial hours (evenings and weekends. We operate a time off in lieu system)
